If needed see <a>help with determining<\/a> which heading indicates folders that are on the mail server.<\/li>\n<li>Click and hold on a selected message, then drag it to the desired folder under the <strong>On My Computer<\/strong> heading in the folder list on the left. NOTE: By default, dragging messages will copy instead of moving them so you may still need to delete the messages from the original folder. To skip this step you right-click on a message, select Move and indicate the desired folder on your computer.<br \/>\nThe picture below shows 4 selected messages being dragged from the <strong>Inbox<\/strong> folder of an account called <strong>Columbia 1<\/strong> to the <strong>Inbox<\/strong> folder under <strong>On My Computer<\/strong>.<\/p>\n<p align=\"center\"><img decoding=\"async\" src=\"http:\/\/www.cumc.columbia.edu\/it\/howto\/email\/img\/macselectedmessages.jpg\" alt=\"Dragging Messages in Outlook\" \/><\/p>\n<\/li>\n<\/ol>\n<div id=\"archive\"><\/div>\n<p><span class=\"subtitle\">Set Up an Archive Using Rules<\/span><br \/>\nSetting up a rule allows you to move messages that fit a certain criteria, such as their age, to another location such as the <strong>On My Computer<\/strong> folders.<br \/>\nNOTE: Rules in Outlook for Mac are only run when a new message comes in. Due to this, a rule based on a message&#8217;s age will NOT automatically archive old messages, however you can set up the rule and run it when needed to perform a quick, bulk move of old messages.<\/p>\n<ol>\n<li>With Outlook open, select <strong>Tools<\/strong> from the uppermost menu, then <strong>Rules<\/strong> from the drop down that appears.\n<p align=\"center\"><img decoding=\"async\" src=\"http:\/\/www.cumc.columbia.edu\/it\/howto\/email\/img\/macrulesmenu.jpg\" alt=\"Outlook Tools drop down menu\" \/><\/p>\n<\/li>\n<li>Click on <strong>Exchange<\/strong> under the <strong>On My Computer<\/strong> heading in the left column of the window to highlight it, then select the <strong>+<\/strong> (plus) sign at the bottom of the window to add a Rule.\n<p align=\"center\"><img decoding=\"async\" src=\"http:\/\/www.cumc.columbia.edu\/it\/howto\/email\/img\/macexchangerules.jpg\" alt=\"Outlook Rules for Exchange\" \/><\/p>\n<\/li>\n<li>In the <strong>Rule Name<\/strong> field of the next window, type in a description for the rule you are creating. This will appear in the Outlook Rules window (shown above) if you need to review, modify or delete it in the future.\n<p align=\"center\"><img decoding=\"async\" src=\"http:\/\/www.cumc.columbia.edu\/it\/howto\/email\/img\/macarchiverule.jpg\" alt=\"Outlook Rule to move messages older than 180 days\" \/><\/p>\n<\/li>\n<li>Set additional criteria for the rule. To have all messages that are older than 180 days (approximately 6 months) moved from your account on the server to your Inbox on the computer, select the following:\n<ol type=\"a\">\n<li>In the <strong>When a new message arrives:<\/strong> section, change the first drop down to <strong>Date Received<\/strong>; the next to <strong>Is Greater Than<\/strong>; and type <strong>180<\/strong> in the <strong>days old<\/strong> field.<\/li>\n<li>If you have more than one email account configured in Outlook on your computer, click the <strong>+<\/strong> (plus) button to the right of <strong>days old<\/strong> to add the next rule condition and set it for <strong>Account<\/strong> &#8211; <strong>is<\/strong> &#8211; <strong>&lt;name of your CUMC email account&gt;<\/strong>.<\/li>\n<li>In the <strong>Do the following:<\/strong> section, select <strong>Move Message<\/strong> &#8211; <strong>Inbox (On My Computer)<\/strong>.<br \/>\nNOTE: if there is another folder on your computer you prefer to use it is ok to select this, just make sure it is labeled <strong>(On My Computer)<\/strong>. Folders not labeled as such are on the mail server and will still count towards your quota.<\/li>\n<li>If there is an additional row for rule criteria, select the <strong>&#8211;<\/strong> (minus) button to its right to remove.<\/li>\n<\/ol>\n<\/li>\n<li>Make sure <strong>Enabled<\/strong> in the lower left of the window is checked and click the <strong>OK<\/strong> button.<\/li>\n<li>Click the red button in the upper right corner of the Rules window to close it and return to your Outlook mail.<\/li>\n<li>To run the rule you must Select All messages in the desired folder. Click any message in the folder you&#8217;d like to archive, then click <strong>Edit<\/strong> &#8211; <strong>Select All<\/strong> from Outlook&#8217;s topmost menu (or press the <strong>Option<\/strong> &#8211; <strong>a<\/strong> keys on your keyboard to Select All).\n<div align=\"center\"><img decoding=\"async\" class=\"image\" src=\"http:\/\/www.cumc.columbia.edu\/it\/howto\/email\/img\/mac16selectall.png\" align=\"Select All messages in the current folder\" \/><\/div>\n<\/li>\n<li>When all the messages in the folder are selected (highlighted), click <strong>Messages<\/strong> from Outlook&#8217;s topmost menu, then <strong>Rules<\/strong> &#8211; <strong>Apply<\/strong> &#8211; <strong>180 Day Automatic Archive<\/strong> to run the rule. Depending on how many old messages you have it may take a few minutes to complete the archive.\n<div align=\"center\"><img decoding=\"async\" class=\"image\" src=\"http:\/\/www.cumc.columbia.edu\/it\/howto\/email\/img\/macapplyrule.jpg\" alt=\"Applying the Archive Rule\" \/><\/div>\n<\/li>\n<li>Archived messages will now appear in the On My Computer folder selected in step 4c above.<\/li>\n<\/ol>\n<p>To use the rule in the future, start at step 7 above.
